How SonicMeet handles meeting data

SonicMeet runs inside the Chrome or Edge tab where your meeting is open. There is no server-side bot dialing into Google Meet, Zoom, or Microsoft Teams, and no participant in the meeting receives a "recording started" notification because of SonicMeet. Other meeting participants will not know SonicMeet is in use unless you tell them.

Audio from the meeting tab is captured using the browser's tab-capture APIs. Depending on the feature and browser environment, SonicMeet may process this audio locally and/or transmit short-lived audio streams or chunks to SonicMeet backend services and trusted speech-processing providers to generate captions, transcripts, translations, and summaries in real time. Raw meeting audio is not stored as a recording, and we do not retain audio files on our systems as part of normal operation.

If you enable a feature that includes your own voice in captions or transcription, SonicMeet may also request microphone access and process microphone audio for that session. Microphone access is optional and is used only for the feature you turn on.

Transcripts, translations, notes, bookmarks, and meeting summaries are stored so that you can review and search past meetings inside the extension or your account. Session metadata (meeting start time, duration, language settings, minutes consumed against your plan) is stored to power your usage dashboard, billing, and reliability monitoring. If you are on a Team plan, the organization owner and admins can see per-member usage totals for billing purposes, but they cannot read other members' transcript or note content.

If we ever introduce a feature that stores something new about your meetings (for example, saved audio clips), it will be off by default and require an explicit opt-in. New features that change what we store will be reflected in this page and the Privacy Policy before they are released.

Browser permissions

The extension requests the following Chrome permissions. Each is used only for the purpose listed.

In addition to extension permissions, SonicMeet may request browser microphone access when you enable features that include your own voice in captions or transcription. That access is optional and used only while the feature is active.

Host permissions are limited to the meeting platforms we support (meet.google.com, teams.microsoft.com, *.zoom.us) and the SonicMeet backend services that handle transcription, translation, sign-in, storage, and analytics.

Data retention and deletion

Meeting-tab audio and optional microphone audio are processed in real time and are not retained as stored recordings in the normal operation of the service.

Account data, transcripts, notes, summaries, and session metadata are retained while your account is active so you can review past meetings. You can delete individual transcripts and notes from inside the extension at any time.

To delete your account along with all stored transcripts, notes, summaries, and session metadata, email [email protected] from the address tied to your account. Deletion is processed within 30 days. Backups containing deleted data roll off on our standard backup cycle, after which the data is no longer recoverable.

Billing records (invoices, payment status, plan changes) are retained for the period required by tax and accounting regulations even after account deletion.

Third-party providers

SonicMeet uses trusted infrastructure and service providers for hosting, payments, transcription, translation, summarization, analytics, support, and reliability. We only share data as needed to provide the service.

Certifications

Compliance certifications such as SOC 2 and ISO 27001 are on our roadmap as we expand our enterprise customer base. We can provide a security questionnaire response and a list of subprocessors on request for team and enterprise prospects.
