Privacy Policy
Effective Date: March 19, 2026
SonicMeet ("SonicMeet," "we," "us," or "our") provides real-time captioning, transcription, translation, and related productivity tools through our browser extension, website, and related services (collectively, the "Services").
This Privacy Policy explains how we collect, use, store, disclose, and protect your information. We've tried to keep it readable — if anything is unclear, email us at [email protected].
By using the Services, you agree to the collection and use of information in accordance with this Privacy Policy.
1. Information We Collect
a. Account Information
When you create an account or contact us, we may collect information such as your name, email address, login identifiers, subscription status, and billing-related information.
b. Transcript, Note, and Session Data
When you use SonicMeet, we may collect and process content associated with your use of the Services, including:
- live captions and transcripts;
- translated text;
- notes, highlights, bookmarks, or other content you create;
- session history and related metadata;
- language settings, meeting-related preferences, and product interactions.
Depending on the features you use, this information may be processed locally on your device and/or transmitted to and stored on our systems or trusted service providers in order to provide the Services, maintain session history, enable syncing, improve reliability, provide customer support, and support product functionality.
c. Technical and Usage Information
We may automatically collect certain technical information, such as:
- browser type and version;
- device and operating system information;
- extension version;
- IP address or approximate location derived from IP;
- error logs, crash reports, diagnostics, and performance data;
- pages or domains where the extension is activated, as necessary to provide the service;
- feature usage, clicks, session duration, and other analytics events.
Where possible, we avoid collecting unnecessary personal identifiers. Analytics providers may process IP address or device information to provide us aggregated statistics.
d. Payment Information
If you purchase a subscription or other paid features, payments are processed by third-party payment processors (such as Stripe). We do not store full payment card numbers on our own servers, but we may receive limited billing information such as payment status, plan type, renewal date, the last 4 digits of your card, and transaction identifiers.
e. Communications
If you email us, submit support requests, or otherwise communicate with us, we may collect the content of those communications and any attachments or related information you provide. We use this only to reply, debug, and improve SonicMeet — not for advertising.
2. Legal Bases (GDPR)
For users in the EU/EEA/UK, we rely on the following legal bases:
- Contract — to provide the service you asked for (captions, translations, account, billing)
- Legitimate interests — to improve the product, prevent abuse, and keep the service secure
- Consent — where required by law (e.g. certain cookies or marketing emails)
We aim to follow strong privacy principles inspired by the EU General Data Protection Regulation (GDPR), such as data minimisation and purpose limitation.
3. How We Use Information
We may use information we collect to:
- provide, operate, maintain, and improve the Services;
- generate, display, save, sync, and manage transcripts, translations, notes, and session history;
- authenticate users and manage accounts;
- process subscriptions, payments, renewals, and usage limits;
- respond to support requests and communicate with you;
- monitor performance, fix bugs, prevent abuse, and enhance security;
- analyze usage trends and improve product design and reliability;
- enforce our Terms of Service and other policies;
- comply with applicable legal obligations.
We do not sell your personal data. We do not use your audio or transcripts to train unrelated general-purpose models unless we clearly ask and receive your explicit consent.
4. How We Store and Process Data
SonicMeet is designed to provide real-time transcription, translation, and note-related features. To support these functions, information may be processed on your device, transmitted over the internet, and stored in cloud infrastructure or with service providers acting on our behalf.
For example, transcript content, notes, session history, and related metadata may be retained on our servers or trusted infrastructure providers for purposes such as:
- providing history and saved records;
- synchronizing data across sessions or devices;
- supporting account-based features;
- troubleshooting, service reliability, and customer support;
- improving the performance and quality of the Services.
We take reasonable measures intended to protect information, but no method of transmission or storage is completely secure.
5. Sharing of Information
We do not sell your personal information.
We may share information in the following circumstances:
- Service Providers: with vendors, hosting providers, analytics providers, speech-to-text and translation infrastructure providers, payment processors, customer support tools, and other vendors who help us operate the Services. We try to share only what is necessary for the service to work;
- Legal Compliance: if we believe disclosure is necessary to comply with applicable law, regulation, legal process, or governmental request;
- Protection of Rights: to protect the rights, property, or safety of SonicMeet, our users, or others;
- Business Transfers: in connection with a merger, acquisition, financing, sale of assets, or similar transaction;
- With Your Direction: when you instruct us to share information or use integrations that require it.
6. Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain your account, comply with legal obligations, resolve disputes, enforce our agreements, and support legitimate business operations.
In general:
- Account and billing data: kept while you have an account and for a period required by law after cancellation
- Transcript, note, and session data: retained until you delete it, your account is deleted, or it is removed according to our retention practices
- Analytics: kept in aggregated or anonymised form where possible
- Logs and technical data: kept for a limited time for debugging and security
If you delete your account, we will remove or anonymise personal data we no longer need, subject to legal retention requirements. We may also retain limited backup copies and logs for security, fraud prevention, legal compliance, and operational continuity.

9. Third-Party Services
The Services may rely on or link to third-party services, websites, platforms, or integrations (such as speech-to-text APIs, translation APIs, hosting providers, and payment processors). We are not responsible for the privacy practices of third parties. We encourage you to review their privacy policies separately.

12. Security
We use reasonable administrative, technical, and organizational measures designed to help protect information. However, no security system is perfect, and we cannot guarantee absolute security.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date, post the revised version on our website, and where appropriate, provide additional notice.
Your continued use of the Services after an updated Privacy Policy becomes effective means you acknowledge the revised policy.
