How SonicMeet protects meeting data in the Windows app and browser extension.

SonicMeet is designed for multilingual meetings without adding a bot to your call or storing raw meeting audio recordings as part of normal operation.

How SonicMeet handles meeting data

The browser extension captures audio only from the supported browser tab you select. The Windows desktop application can capture system audio playing on your device, including meeting applications, browsers, and other applications. Both products may transmit short-lived audio streams to SonicMeet and trusted speech-processing providers to generate captions, transcripts, translations, and summaries in real time.

On Windows, SonicMeet uses the operating system's desktop-capture interface to obtain system audio. The application immediately stops the video track and does not store or transmit screen video for captioning. Raw meeting and microphone audio is not retained as an audio recording in normal operation.

If you enable microphone captions, SonicMeet requests microphone access and mixes that input with the selected audio stream for the active session. You can turn microphone processing off.

Transcripts, translations, notes, bookmarks, summaries, and session metadata may be stored so you can review past meetings, synchronize your account, track plan usage, and use related features. Team owners and admins may see member usage totals for billing, but cannot read another member's transcript or note content through the team usage view.

Meeting visibility and screen sharing

SonicMeet does not add a participant or bot to Google Meet, Zoom, or Microsoft Teams, and does not itself send those platforms a “recording started” signal. However, this does not replace any notice or consent required by law or your organization.

The desktop caption overlay is displayed locally on your screen. If you share or record a screen that contains the overlay or other SonicMeet windows, that content may be visible in the shared screen or recording. Review your screen-sharing selection before presenting sensitive content.

Host access is limited to supported meeting platforms and SonicMeet services needed for transcription, translation, sign-in, storage, and analytics. Browser microphone permission is requested only when you enable microphone captions.

Windows desktop access

The Windows application uses system audio capture, optional microphone access, local application storage, and network access to provide the service. It may also contact SonicMeet's update service to check for and download signed application updates. Local storage may include settings, authentication state, and temporary session-recovery data.

Operational analytics may include application version, operating system, product lifecycle, feature usage, capture state, errors, and performance data. SonicMeet's product analytics events are designed not to include caption text, transcripts, notes, questions, or AI response bodies.

Data retention and deletion

Meeting-tab audio, Windows system audio, and optional microphone audio are processed in real time and are not retained as stored recordings in normal operation.

Account data, transcripts, notes, summaries, and session metadata are retained while needed to provide account history and related features. You can delete saved content in the product where controls are available. To request account and stored meeting-data deletion, email [email protected] from the address associated with your account. We aim to process deletion within 30 days, subject to legal obligations and normal backup expiry.

Billing records may be retained for the period required by tax and accounting law.

Providers and security controls

SonicMeet uses service providers for hosting, authentication, payments, speech processing, translation, summarization, analytics, support, email, and reliability. We limit data sharing to what is needed to provide those functions and use reasonable administrative, technical, and organizational safeguards. No system can guarantee absolute security.

Subprocessor information and security questionnaire responses are available on request for team and enterprise prospects.

Certifications

SOC 2 and ISO 27001 certification are on our roadmap; SonicMeet is not currently claiming those certifications.
